Certain Projects Shifting to Management in General Ledger

Campus colleagues,

Thank you all for engaging with the Division of Finance and Administration to provide meaningful feedback on our Oracle-based financial system. These productive discussions have made room for DFA to prioritize and propose a significant change to the financial management of some of UC Merced’s project transactions. This change streamlines processing for numerous users while maintaining the rigorous accountability required of a world-class research institution.

Effective July 1, UC Merced’s internally funded projects will no longer require project portfolio management (PPM) attributes for transactions, commonly known as POET. Historical data of the affected projects will continue to be accessible in the PPM sub-ledger and the general ledger, but all transactions going forward will live only in the general ledger.

It’s important to note these projects always have been in the general ledger under the same project number. In essence, the projects are not moving; they will simply be managed outside of the PPM sub-ledger. The aim of this change is to simplify the management of accounts that do not have external billing or reporting requirements.

Project types affected by this change (and their identifier code) include:

SUP – Faculty Start-Up

FEL – Fellowship

IDC – Indirect Cost Return

RET – Retention

INC – Incidentals

SUM – Summer Revenue Sharing

CHR – Faculty Chair

IST – Institutional Grants/Contract Awards

SEN – Senate

GFT – Gift

SPK – Spark

END – Endowment

INT – Internal Funding

 

Project types remaining in the PPM sub-ledger include:

CNT – Externally Sponsored Contracts

CMJ – Major Capital

GNT – Externally Sponsored Grants

CDM – Deferred Maintenance

CMN – Minor Capital

CCR – Capital Renewal

Please note we are reviewing all identifiers to ensure accounts are categorized properly. Expect follow-up communication as we approach the July 1 cutover date.
